After School Care Details And Policies
Welcome to Hanabi Judo After-School Care!
This admission agreement is designed to inform you about our program and policies. Please feel free to speak with Dan Augustine about any questions you have.
PROGRAM HOURS
Our hours are structured around the Albany Elementary Bell Schedule. Monday through Friday, on days that Albany schools are in session, TK and Kindergarten students have early dismissal and will be picked up at their Albany school at 1:30 while 1st – 5th Grade students have later dismissal and will be picked up at their Albany school at 3:05. Later dismissal students are dismissed at 1:45 on Wednesdays and will be picked up at that time. Pick up times may also vary during the week of student-teacher conferences. Vacations and holidays will be observed according to the Albany Unified calendar. Any personal changes of schedule should be communicated to Hanabi as early as possible.
Students who are not from the Albany Unified School District can arrange their schedule with Hanabi individually.
REGISTRATION
All children must be registered before attending Hanabi Judo After-school care program. There is a one time non refundable registration fee of $100 per child. There is also a yearly material fee of $100 per child. A 10% discount will be given for multiple children in a family. Parents/guardians signing the registration form (contracting parents) are responsible for all paperwork and are the only people who can make any changes on the enrollment forms, emergency forms and child release authorization. Any request must be done in writing.
WITHDRAWAL
Parents/guardians who wish to withdraw their child from Hanabi Judo After-school caremust submit a written notice at least 30 days prior to the child’s last day of attendance at Hanabi Judo After-school care program. If the written notice is received too late, parents will continue to be responsible for full payments up through 30 days after the notice of withdrawal is received.
CONTACT AND EMERGENCIES
It is extremely important for your child’s safety and well being that Hanabi Judo is informed of any changes in your address or phone number. Please notify us within 24 hours of any changes because it is very important that we are able to reach you in case of emergency.
SCHOOL PICK-UP SERVICE
We provide pick up services from Albany elementary schools. Hanabi Judo after-school care program will provide adjusted pick up services for school-wide events such as minimum days and parent-teacher conferences, but not field trips, or other personal and individual activities/circumstances. Your child must be at the agreed upon meeting place immediately after class is dismissed. Hanabi Staff will take roll within 5-10 minutes after the bell rings. Please call, or send text message and email at least six hours prior to pick-up if your child will not be attending Hanabi Judo After-school program that day.
If you choose not to use our School Pick Up Service you need to coordinate with Hanabi to arrange for your child to be dropped off.
MISSING CHILD PROTOCAL
If a child is not present by the time the roll is completed, Sensei/Sempai will check around the school, check at the school’s reception and, if the child can not be found, we will call parents.
SIGN-OUT
Every child must be signed out each day by one of the following:
*A parent/guardian listed on the child’s authorized pick-up list.
*If a child is going to be picked up by a person that is not on the pick-up list authorized parent/guardian must call, text or email the name of the person they are authorizing to pick up the child. Authorized person must be 18 years old and may be requested to present a valid ID for verification.
LATE PICK-UP
Parents unable to pick up their child/children in time should call the dojo immediately. There may be additional charges for late pick-ups.
SNACKS
Parents should pack their children’s snack each day. Please avoid food that needs refrigeration and reheating.
RESPECT
Hanabi expects our students to be examples of good people. We believe in “Jita Kyoei”, a Judo philosophy which in Japanese means, “Mutual welfare and benefit for all.” We work with our students to be respectful and helpful to others. Disrespectful behavior is not permitted.
PAYMENT
Monthly tuition is due on the first day of the month. There will be ten monthly payments from August through May. Monthly payments are the same regardless of how many days Hanabi Judo’s care is open in a given month except for the months of August and December when payments will be pro-rated.
Tuition amounts depend on your child’s registration type. Monthly tuition is due the first day of each month. Hanabi uses ACH payments and does not use credit cards. Payment forms are included in the registration materials.
A $100 registration/application fee must be submitted with the application form to secure your child’s place. This registration/application fee is not applied toward the tuition. Children will be put on a waiting list if our program has reached full capacity. Parents whose children are on the waiting list will be notified when space is available.
REFUNDS
All fees are charged on the basis of enrollment, not attendance. Refunds cannot be given for absences due to illness or vacation. When you enroll your child you are reserving time, space, and staffing whether or not your child attends. Refunds will be given for overpayment of fees but will not be given if your child is terminated from the program.
